Closure of CCAP and CCTP Waiting Lists - 31 March 2023

On 31 March 2023, we will be closing our waiting lists for the CCTP and CCAP Assessment Days, the availability of which was most recently advertised via our Delen Latest News article on 3 March and on the CCTP and CCAP Assessment Day pages on Delen.
Closing the waiting lists will allow us to review our current resource against the demand for the programmes according to those waiting lists.
Any further updates will be communicated in the usual manner, via Delen.

Terminology and Classifications Service - Training Service in 2023/24

Dear colleagues,
Due to recent organisational changes, there will be a delay to the release of classifications training products and a reduced intake on trainer and auditor programmes during 2023/24.
The following information aims to provide our classification users with the reasons for this as well as explaining the impact to our training products and services.
Context
On 1 February 2023, NHS England, and NHS Digital legally merged. This will be followed by the incorporation of Health Education England on 1 April 2023 to create a new, single organisation to lead the NHS in England; to deliver high-quality services for all.

Classifications training
This period of transition and change places additional pressures on our teams, but we remain fully committed to delivering what we can within our current resources.
Following the 2022/23 Clinical Coding Auditor and Trainer Programme development work, we expected to support a larger intake on our 2023/24 Train the Trainer and Train the Auditor courses. and this situation will remain the same until organisational changes are complete and we know the size and shape of the team.
Whilst the organisational change progresses through various stages, we need to take a pragmatic approach and schedule what is achievable with the resources we have. We will regularly assess this situation and adjust accordingly. Any changes will be communicated on our Delen website.
Information relating to training delivery and the release of training materials is detailed below:
Clinical Coding Trainer Programme (CCTP)
- Assessment Day - 12 places
- 2 x Train the Trainer courses - 6 places (per course)
Clinical Coding Auditor Programme (CCAP)
- Assessment Day - 12 places
- 2 x Train the Trainer courses - 6 places (per course)
Core national clinical coding training materials
- Clinical Coding Standards Courses (CCSC), Modules 1-4 - Deliver module by module as completed during the period April to May 2023
- Clinical Coding Standards Refresher Course (CCSRC) - Deliver during the period April to May 2023
- NCCQ (UK) Revision Workshop, Modules 1-3 - Deliver module by module as completed during the period April to May 2023
From the messages received on our collaboration platforms, and through feedback sent to our helpdesk, we are aware that the reduced number of places on our courses is as frustrating for our users, as it is for us.
We will take on board the feedback about the application and early notification processes and look to make improvements in time for the next intake. For clarification, the current process is summarised below:
- To gain a place on the Assessment Day, all applications are assessed against the criteria published in the:
- Subject to meeting the criteria, potential candidates are accepted onto the Assessment Day on a first come, first served basis.
- When a course is oversubscribed, an applicant that meets the criteria will automatically be placed on a waiting list and this is confirmed to the applicant.
- If a place becomes available on the Assessment Day, the place will be offered to an applicant on the waiting list. Priority will be given to a Trust that has not already been offered a place for the relevant intake. Where a Trust has more than one applicant, the Clinical Coding manager will be asked to confirm which applicant should be offered the place.
- Any applicant that does not meet the required criteria receives confirmation and feedback.
We are committed to delivering the best service to our users. We ask that you please bear with us as we enter this period of organisational change, all of which is very unsettling for individuals and teams. We will keep you updated on developments, including the future products and services offering.

CCAP / CCTP Assessment Days - fully booked

Dear colleague,
The Clinical Coding Auditor Programme (CCAP) and Clinical Coding Trainer Programme (CCTP) intake for the 2023-24 Assessment Days, and subsequent Train the Auditor / Trainer workshops are now full.
We are in the process of responding to those applicants who have been unsuccessful at securing a place on the programme due to high demand and advised that they will be placed on a waiting list in the event of withdrawal of accepted candidates.

2022-23 Approved Auditor Code of Conduct and A Guide to Clinical Coding Audit Best Practice Documents - Now Available

Dear Colleague
The Clinical Coding Audit section on the Publication and Resources page has now been updated to include the 2022-23 Approved Auditor Code of Conduct and A Guide to Clinical Coding Audit Best Practice documents. These documents have been updated to reflect new working practices such as remote working / clinical coding audits.
New documents for this year are a Glossary of Clinical Coding Audit Types and Auditor Competency Framework in different formats.
As we continue to redevelop the CCAP Assessment Day and Clinical Coding Audit Workshop based on feedback from the Clinical Coding Auditor Sub-Groups and the wider coding service, an updated version of the CCAP Handbook will not be available until January 2023 ready for 2023-24.

2022/23 Classifications Training Schedule

Dear colleague,
The past two years have brought changes to the way we live and work, with many working from home or moving to a hybrid working model for the foreseeable future or on a permanent basis.
In a very short period of time, we have adapted our classifications training materials and courses to provide different delivery options, where feasible. However, we now need to review all our materials, as in some cases the format has not changed in a number of years, and dedicate more time to develop our training courses to reflect changing work practice and user needs.
For this reason, our focus for 2022/23 will be to adopt a user-centred design approach to drive the development process and reap the benefits of blended learning solutions, where appropriate, such as:
- flexibility in presenting content
- increasing effectiveness by providing different learning experiences
- reducing costs for employee and trainer by hosting live events online
- bringing efficiencies in delivery by accessing more people
- catering for different learning styles through different media and techniques
- accommodating new ways of working and maintaining high quality of materials / courses
This means that our training delivery schedule will be reduced to enable the proposed re-design. The schedule for 2022/23 will comprise the following:

We will deliver Approved Clinical Coding Auditor and Trainer Forums, with these events scheduled towards the end of the financial year, so that we can communicate in advance to approved clinical coding auditors and trainers all the changes made to the CCAP and CCTP frameworks and to the national training materials during this dedicated development year. In addition, we will provide informative webinars covering the changes to the CCAP/CCTP frameworks to clinical coding managers via the Clinical Coding Manager workspace. All changes will be effective from 1 April 2023.
We fully acknowledge that this will inevitably cause disappointment and delay for those accredited clinical coders wishing to apply/re-apply for the CCAP and CCTP during 2022/23. However, as we work towards a more streamlined application process, criteria, and blended learning solutions, we consider it beneficial for potential applicants to wait until these new processes are in place, rather than to train people in the current frameworks when these will change from 1 April 2023.
For approved clinical coding trainers requiring refresher training, our plan is to work with them to redevelop and redesign the Trainer Refresher Course with the aim of starting ‘afresh’ from 1 April 2023. We would like to reassure all approved trainers that their ‘approved’ status will not be affected during this transition phase.
The redevelopment work we have planned to support new ways of working includes:
- developing new and improved frameworks for the Clinical Coding Auditor Programme (CCAP) and Clinical Coding Trainer Programme (CCTP)
- seeking to automate the CCAP and CCTP application processes and introducing an element of online assessment
- signposting to dedicated clinical coding audit report writing and presentation skills training to CCAP applicants
- extending the modules within the current Auditor eAssessment
- refreshing the whole content of the Clinical Coding Audit Workshop
- assessing how well the Auditor Competency Framework (which defines the skills and behaviours required by trainee and approved clinical coding auditors), supports clinical coders, auditors, and managers
- restructuring the Train the Trainer Course into three modules without increasing the overall delivery time, with elements delivered both remotely and face-to-face, reducing the time spent in the classroom from five days to three
- updating the Trainer Refresher Course
- developing eLearning tools, videos, and interactive presentations to make framework requirements clearer and easier to understand
- Developing various eAssessments to support clinical coders as they progress their career from novice clinical coder through to specialised roles such as approved clinical coding trainer
- Developing the Clinical Coding Standards Course content into a blended learning format
- Developing some of the Introduction to Classifications content into eLearning format.
We are working with members of our Sub-Groups to ensure that the new frameworks and associated products will be clearer, and more user-centred in future, and plan to publish regular updates on our progress throughout 2022/23. We will ask for input and feedback via various consultations, feedback polls and discussion forums.
The decision to significantly reduce the 2022/23 Classifications training schedule was not taken lightly. The pandemic has forced new ways of working upon us sooner than expected and we need to devote time to assess, consult and develop our framework and training materials to accommodate this.
Our ultimate goal is to provide you with improved and more user-centre designed events and products in the future.
